To add a single new employee (vs. mass import), Illizeo provides a step-by-step wizard guiding you through the required sections: personal info, job, organization, dependents, and more.
When to use this method #
- You hire 1 to 5 employees
- You want to fill in all profile sections directly without going through multiple imports
- You have specific data (status, custom fields) not present in the import template
Steps #
Open the create form #
Menu Employees → button + Add employee top-right. The wizard opens.
Basic info #
Enter: first name, last name, work email, employee ID (auto-generated if blank), hire date, salutation, interface language.
Job & contract #
Assign: company, department, team, office, manager, contract type (permanent/fixed-term/intern/contractor), end date for fixed-term, status. All fields are picklists configurable in Settings.
Additional sections #
Depending on your setup, fill: address, emergency contacts, dependents (spouse, children), bank, insurances, ID documents. Required sections are marked with an asterisk.
Profile picture #
Upload a photo (PNG/JPG, 2 MB max). Built-in crop and zoom. Without one, Illizeo auto-generates an initials avatar.
Onboarding (optional) #
If the Onboarding module is active, pick an onboarding template to assign. The employee will receive the step sequence (signatures, training, IT access).
Welcome email #
Tick Send activation invitation to email the employee an activation link. Otherwise, you can send it later from the profile.
Confirm #
Click Create employee. The record is instantly available in the list, with all sections pre-filled.
Common errors #
| Error | Fix |
|---|---|
| “Email already in use” | Another employee (active or archived) has this email. Use a different one or reactivate the existing. |
| “Employee ID duplicated” | Leave the field empty so Illizeo generates a sequential ID. |
| Locked section | An upstream required section is incomplete. Go back and fill required (*) fields. |
