An Illizeo onboarding journey orchestrates every step between contract signature and end of probation: workstation setup, document signing, training, check-ins. Model it once, reuse it for every new joiner.
Before you start #
List the standard steps you want to automate. Best practice: one journey per profile (manager, technician, sales) rather than a generic journey that becomes hard to maintain.
Step-by-step #
-
Open the Onboarding module #
From the main menu, go to Onboarding → Journeys. Click + New journey.
-
Set a name and a trigger #
Use a clear name (e.g. “Manager onboarding – Switzerland”). Pick a trigger: Manual, On contract signing, or X days before start date.
-
Add steps #
Click + Step. Each step has a title, an owner (HR, manager, IT, the employee themselves), a deadline relative to the start date and a type (task, form, signature, training, email).
-
Set dependencies #
You can block a step until another one is completed. Example: “Hand over the laptop” waits for “Prepare the laptop” to finish.
-
Test, then publish #
Use Preview to visualise the timeline. Click Publish to make the journey usable for new joiners.
Available step types #
| Type | Usage | Completion |
|---|---|---|
| Task | Manual action (prepare desk, issue badge) | Checkbox |
| Form | Data collection (bank details, emergency contact) | Form submission |
| Signature | Contract, policy, NDA | E-signature received |
| Training | LMS link or internal course | Score >= threshold |
| Welcome message, instructions | Automatic send | |
| Meeting | Team coffee, manager 1:1 | Calendar invite accepted |
FAQ #
What is the maximum number of steps?
No technical limit. Above 25 steps, split the journey into sub-journeys to keep it readable.
Can I duplicate an existing journey?
Yes. From the list, click the three dots then Duplicate. Every step is copied so you can fine-tune.
How do I track multiple onboardings at once?
The Active onboardings dashboard shows every joiner in a kanban with their completion percentage.
Does the journey handle public holidays?
Yes, deadlines are calculated against your tenant calendar: holidays and weekends are skipped unless you choose otherwise.
Customise steps per profile #
You can enable or disable steps based on department, location or seniority. See the next article.
