Without a dedicated tool, booking happens on a shared spreadsheet or over chat. Employees can’t see what’s left, managers approve case by case, and attendance rules — required in-office days, remote-day caps — are enforced nowhere. The result: overbooked desks, under-used floors, and no data to decide on.

No visibility

There’s no way to tell how many desks remain free on a given day, or who will be in. Teams turn up unsure of getting a seat, and managers steer blind.

The visual side of the module runs on an interactive canvas: draw, click, reassign — right on the plan of the premises.

Zones in relative coordinates

Zones are stored as a percentage of the plan’s dimensions (0 to 1). The rendering stays accurate on any screen, from a large monitor to a phone, with no distortion or offset.

Polygon drawing

You outline a zone by drawing a polygon straight onto the plan, then select it with a click. Creation and selection live in the same canvas, with no external tool.

PDF and image import

The architect’s plan in PDF is converted and shown as the background map. Images are supported too, with optimised loading so switching floors stays smooth.

Plan tied to scheduling

The plan integrates with the booking calendar: a seat picked on the plan becomes a properly named event (e.g. “Paris — Floor 2”), viewable and editable on the scheduler.

Frequently asked questions

How does an employee book a desk?+
They open the plan of the relevant floor, see the zones and seats available for the chosen day, and book a desk or room. They can book for the current or next week, then change their booking or switch zone if needed.
How are attendance rules enforced?+
Each employee group is attached to a profile that defines required in-office days, allowed offices and the remote-day cap. At booking time, the module checks these rules. A remote request beyond the profile’s cap is blocked before confirmation.
Can we import our real office plans?+
Yes. You upload the plan as a PDF or image; it becomes the booking background. You then draw the zones (teams, focus, free zone) directly on the plan. Zones are stored in relative coordinates, so the rendering stays correct on every screen.
How does manager approval work?+
Requests that need sign-off (for instance a remote day) land in an approval queue sorted by urgency. The manager reviews the details — requester, period, type — and approves or denies. Denied requests are kept and exportable.
What data can we export?+
The dashboard lets you export to CSV the detailed attendance data, per-user statistics and denied requests, over the selected period (current week, next week or a custom range) — enough to analyse the occupancy rate and arbitrate on floor space.
Does it handle multiple sites and floors?+
Yes. An office can have several floors, each with its own plan and zones. You configure capacity, a colour, optional overbooking and the visibility of each space by site, for a consistent multi-site setup.
Is the module available in French?+
Yes. The interface is bilingual English / French, like the rest of the Illizeo platform.
