Flex Office: week template
Last Updated: 01.11.2026The week template describes your usual week. Every night, the server uses it to book for you your desk (and your preferred desk if it is free), then your parking spot and your meal, on the coming days. The same window also shows your assigned desk, if you have one.
Flex Office: parking
Last Updated: 01.11.2026Flex Office parking lets you book a spot with your desk booking or your desk and release a spot assigned to you. Depending on your permissions, you can also follow the occupancy of a location's car parks and the named list of the day.
Flex Office: meals
Last Updated: 01.11.2026Flex Office catering lets you book your meal with your desk booking or your desk, choose your dish and join a waiting list when a service is full. The kitchen and reception each have their own view of the day.
Flex Office: visitors
Last Updated: 01.11.2026Invite external visitors, book a parking spot and a meal for them, organise their reception and check in a colleague at reception.
Flex Office: meeting rooms
Last Updated: 01.11.2026The Meeting rooms tab is where you book a room on one of your sites for a meeting, one-off or repeated: you choose the day and the start and end time, to the minute, you invite colleagues and, if your role allows it, people from outside.
Flex Office: site events
Last Updated: 01.11.2026Site events announce what is happening at your locations: training, social occasions, communication, maintenance. They appear in the calendar; some take registrations, and an event at a set time can have its own meeting room.
Flex Office: approvals
Last Updated: 01.11.2026The Approvals tab gathers the requests awaiting your decision: desk bookings and visits. Meeting rooms do not go through approval: a meeting is confirmed straight away.
Flex Office: schedule reminders
Last Updated: 01.11.2026Reminders prompt employees to complete their schedule. They only target people whose schedule is incomplete. The Schedule reminders window lists these people and the reminders they have received, and lets you send reminders manually.
