Hour counters accumulate, month after month, each employee’s special hours: overtime, night, weekend, public holidays, on-call, bridge days and time accounts. This article explains how they are fed, how to view them and how to adjust, pay out or convert a balance.
Before you start #
| Permission | Level | Roles supplied |
|---|---|---|
| View time counters (balances) | Access | Administrator, HR Manager, Manager, Payroll Manager, Auditor |
| Adjust a time counter | Execute | Administrator, HR Manager, Payroll Manager |
| Pay out a time counter | Execute | Administrator, Payroll Manager |
| Convert a time counter | Execute | Administrator, HR Manager, Payroll Manager |
| View overtime | Access | All |
With the roles supplied, employees do not see the counters tab in their own timesheet: grant them “View time counters (balances)” if you want them to follow their balances.
The counters #
| Counter | What it accumulates |
|---|---|
| Overtime | Hours beyond the profile’s threshold, with their surcharges. |
| Night hours | Hours within the profile’s night brackets. |
| Saturday hours / Sunday hours | Hours worked on those days, if the profile tracks them. |
| Public holiday hours | Hours worked on a public holiday, or the compensation credit if the company compensates in time. |
| On-call | On-call periods (counted in periods, not hours). |
| Bridge-day compensation | The share set aside each planned day, minus non-working days. |
| Time account | The month’s worked − owed balance, or progress towards the annual target. |
| Bonus time account | The time bonus earned in the ranges defined in the profile. |
Counters are recalculated when the month’s timesheet is approved. Hours from months not yet approved are shown separately as “pending”.
Viewing the counters #
- Open the employee’s profile, Presence tab, then the Hour Counters tab.
- The banner recalls the active schedule, the overtime threshold and the night bracket.
- Each card shows the balance, the month’s movement and adjustments; Show history lists the operations (date, hours, comment, total).
Below the cards you may find, depending on the profile, the time account’s annual target, the reduced day-rate plan, the bridge-day compensation details and hours by presence reason. Overtime, night and Saturday counters are also visible, with the conversion action only, in the counters tab of the Absences page.

Adjusting, paying out or converting a balance #
- On the counter’s card, click Adjust, Payment or Convert.
- Choose the Month to process (only approved months are offered).
- Enter the Number of hours, or the Adjustment (+ or -) for an adjustment. The window shows the maximum and the remaining balance.
- For a conversion, choose the Target leave type: hours are converted into days using the contract’s daily time, or into hours according to the leave type’s rule.
- Give the reason (3 to 500 characters) and, for a payout, a Payroll reference (optional).
- Confirm with Apply, Send request or Convert.
If a circuit for counter operations is active in the workflows, the operation waits for approval; otherwise it applies immediately.

Good to know #
- Nobody can adjust, pay out or convert their own counters.
- Payouts and conversions require an approved month; adjustments do not. No operation is possible on a period whose payroll is closed, nor while another operation is pending on the same counter.
- A payout sends hours to payroll, never an amount. It is only offered if counter payouts are open for the company and the counter is ticked in the profile’s “Payable counters”.
- Convert only appears if the Absences module is open; the employee must have a rule for the target leave type.
- Automatic payout schedules, fixed-date bounds and alerts before a bound are set in the attendance profile (Surcharges and Clock change and counter bounds sections).
- A pending operation stays visible in the history and cannot be cancelled from the screen.
- The message shown after a payout speaks of a request sent, even when the operation was applied directly.
- Paying out a leave balance belongs to the Absences module (leave balances), not to hour counters.
