System reports are ready-made reports, provided and maintained by Illizeo: headcount, hires and departures, absences, working time, training, payroll, compliance… There is nothing to configure: you open the report, choose the period and population, then read or export the result.
Before you start #
- The tab requires the “System reports — List” permission; opening a report requires “System report — Open” or the report’s own permission.
- Exporting requires “Export — Run (CSV/PDF/PPTX)” at the Execute level; the “Filters” button requires “System report — Custom filter”.
Finding a report #
The System Reports tab of People Analytics lists the reports you can open, with their number.
- The categories at the top of the list (All, Human Resources, Time Management, Payroll, Training, Performance, Expenses, Flex Office…) filter the list. Each shows its number of reports.
- The Search a report… field filters on names and descriptions.
A report only appears if the module it comes from is open to you, and if your role holds the permissions it requires. The full list is in the “System reports catalogue” article.

Reading a report #
A report opens on its chart and, depending on the report, on a detailed table. When both exist, the Chart and Table buttons switch between them.

The period #
The bar above the report sets the period:
- Week, Month or Year, with the Previous period and Next period arrows;
- or free dates, From … Until ….
Reports about upcoming deadlines (contract ends, work permits, certifications…) offer a horizon instead: Due within the next 30, 90, 180 or 365 days, for example.
The population: the “Filters” button #
The Filters button opens the “Custom Filters” window. Each filter is made of a Field, an Operator and a Value:
- identity fields: gender, nationality, date and country of birth, marital status…;
- organisation fields: sub-company, office, department, teams, position, job code, employee class, manager…;
- contract fields: hire date, contract type, contract end, end of probation, departure date.
Add another filter to combine several criteria; Save Filters applies them. Filters always narrow your population: they never widen it.

Table reports #
Reports presented as a table (leave balances, time counters, mandatory training, contracts to check…) also offer:
- Group by: group the rows by department, site, sub-company, team, contract type, status… depending on the report;
- Break by and Totals: subtotals per group and a total row;
- sorting by column, by clicking its header;
- on some reports, Trend over the period: the same indicator by day, month or year, with the Compute the trend button.

Exporting #
The Export menu offers, depending on the report:
- Table data (CSV);
- Table (Excel);
- Table (PDF);
- Chart (PNG).
The file contains exactly what you see: the same period, filters and population. The menu only appears if your role holds the “Export — Run (CSV/PDF/PPTX)” permission at the Execute level.
Three Flex Office reports (Occupancy by site, On-site presence per employee, Meals and parking per day) can also be delivered automatically to an SFTP server: see the “Scheduling a report” article.

AI summary #
If artificial intelligence is enabled for your workspace, table reports offer a Summarise button: the AI sums up in a few points what the report shows, with your filters. It is never offered on reports related to health. See the “Describing your report to the AI” article.
Good to know. The Absence anomalies and Bradford factor reports are reserved for people who can see absence reasons. A report’s figures are always calculated on your population: a manager only sees their own scope.
Frequently asked questions #
The report is empty. #
Change the period or the filters, then try again. Also check that the employees concerned are part of your population.
A report a colleague has does not appear for me. #
The module it comes from is not open to you, or your role does not hold the permission it requires. Your administrator can check this in Settings › Manage Employees › Employee Roles.
I cannot see the “Filters” button. #
It requires the “System report — Custom filter” permission.
