Team rosters, built without a clash.

Overlapping shifts, understaffing spotted too late, and a last-minute text to plug a gap. Illizeo’s Scheduling module brings together multi-view rosters, reusable shift templates, self-service open shifts, automatic conflict detection and one-click publishing to your teams — all synced with your leave and work-time profiles.

overlaps & understaffing

Rosters in a spreadsheet, shifts that overlap, and a gap found the very same morning.

As soon as a team runs on shifts — reception, field, on-call, weekends — the spreadsheet hits its limits fast: it knows nothing about leave, unavailabilities, or who is qualified for which role.

The spreadsheet can’t keep up

Every week is retyped by hand. A leave request approved elsewhere, an unavailability, a last-minute change — and the roster on screen no longer matches reality.

Invisible clashes & understaffing

Two shifts on the same person, a role left with no qualified staff, an hours cap exceeded: nothing warns you until it’s too late.

Teams never in the loop

The roster lives in a file no one opens. Employees find out their hours by message, with no way to confirm, flag an unavailability or take an open shift.

THE SCHEDULING MODULE

One roster, published in a click, linked to your leave.

Build rosters shift by shift, let the system catch the clashes, then publish to your teams. Each employee sees their roster, confirms it, flags an unavailability or applies for an open shift.

  • Six roster views: week (drag & drop), day, month, list, by role and personal
  • Reusable shift templates — morning, afternoon, night, weekend, trade-specific
  • Daily, weekly, bi-weekly or monthly recurrence, with breaks and tasks per shift
  • Automatic detection of clashes, overlaps and understaffing
  • Batch publishing, recall if needed, and notifications at every step

SIX WAYS TO SEE YOUR ROSTERS

Every role has its own view.

From the planner building the week to the employee checking their own shifts, everyone gets the reading that suits them — without switching tools.

Week

The go-to view, with drag & drop: create, move and duplicate shifts in a single gesture.

Day

An hour-by-hour timeline, 6am to 11pm, to read a busy day in fine detail.

Month

The big picture to anticipate rotations, on-call duty and the workload ahead.

List

Every shift laid flat, filterable and sortable, to check and export quickly.

By role

Shifts grouped by role or position, so every function is covered without a gap.

My schedule

The employee’s personal view: their own shifts, confirmations and applications only.

FROM CREATION TO PAYROLL

A roster’s cycle, end to end.

Every week follows the same thread: build, check, publish, get confirmation, then analyse — with no retyping or back-and-forth.

1
Build
Create or duplicate shifts from a template. Breaks, tasks and recurrence included.
2
Check
The system catches clashes, overlaps and understaffing before publishing.
3
Publish
Publish a whole week in one batch. A recall is available if something changes.
4
Confirm
Each employee gets their roster, confirms it or flags an unavailability.
5
Analyse
Scheduled hours, reports and CSV / iCal export for what comes next and payroll.
THREE KEY MOMENTS

Plan, open & fill, steer.

Plan

Build your rosters shift by shift, from reusable templates and clear rules.

  • Morning / afternoon / night / weekend templates
  • Daily-to-monthly recurrence
  • Paid and unpaid breaks
  • Tasks assigned per shift
  • Customisable shift fields

Open & fill

Publish open shifts: qualified employees put themselves forward, you approve.

  • Self-service open shifts
  • Spot count and application deadline
  • Applications with manager approval
  • Restricted to qualified roles
  • Centralised request queue

Steer

Stay in control of hours, clashes and history, and export what you need.

  • Conflict & understaffing detection
  • Scheduled hours & reports
  • Unavailabilities & leave
  • Audit log of changes
  • CSV & iCal export
OPEN SHIFTS

A gap in the roster? Let the team fill it.

Instead of a last-minute text, publish the shift: qualified employees apply, you approve, everyone is notified.

OPEN SHIFT LIFECYCLE

From empty shift to confirmed spot, with no manual chasing.

Each open shift carries its own rules: number of spots, application deadline, allowed roles and approval required. Applications land in a single queue, and the spot is confirmed in one click.

open shift → application → manager approval → confirmed & notified

BEYOND THE ROSTER

What keeps the whole thing running with confidence.

Unavailabilities & leave

Employees and managers declare leave, training, days off or medical absences. Each request follows an approval flow and feeds back into the roster, so no one unavailable gets scheduled.

Roles, permissions & visibility

Define who plans, who approves and who sees what. Roster visibility is set finely, including per-user exceptions, so everyone accesses only what concerns them.

Import & export

Import shifts, employees and templates through a guided CSV wizard, with validation before it goes live. Export your rosters as CSV for payroll or iCal for your teams’ calendars.

Notifications & audit log

Publishing, confirmation, rejection, application, unavailability or a detected conflict: every event notifies the right people. And every change to a shift is tracked in an audit log.

FREQUENTLY ASKED

What people often ask.

How is it different from the Attendance and Leave modules?+
Scheduling is for building future rosters, shift by shift (shifts, rotations, on-call). The Attendance module records time actually worked (clock-ins), and the Leave module manages time off. All three sync: approved leave and unavailabilities show up in the roster so no one unavailable gets scheduled.
How do you handle rotations and on-call?+
You create shift templates (morning, afternoon, night, weekend, trade-specific) and apply a recurrence — daily, weekly, bi-weekly or monthly. Shifts duplicate from one week to the next by drag & drop, with their breaks and tasks.
Can employees put themselves forward for shifts?+
Yes. You publish open shifts with a spot count, a deadline and allowed roles. Qualified employees apply from their portal, and you approve the applications. Everyone is notified on confirmation.
Does the module detect conflicts?+
Yes. Before publishing, the system spots overlapping shifts on the same person, understaffing situations and unavailabilities, and alerts you to fix them before the roster goes out to the teams.
Can rosters be imported and exported?+
Yes. A guided CSV import wizard loads shifts, employees and templates with a validation step. On export, you get your rosters as CSV (for payroll) or iCal (for your employees’ calendars).
Is the module available in French?+
Yes. The interface is bilingual English / French, like the rest of the Illizeo platform.

Clear rosters, published in a click, confirmed by your teams.

Reusable templates, open shifts, conflict detection and an employee portal. Turn on the Scheduling module and take back control of your team hours.
