# Training: overview and navigation

The **Training** module brings the whole training cycle into Illizeo: the catalogue and online courses, classroom sessions and their attendance sheets, training requests, certifications, skills, the annual plan and the budget. This article explains how the module is organised, its vocabulary and what each person sees. It is for every user: employees, managers, trainers, HR and administrators.

## Before you start

- The **Training** module must be enabled for your organisation.
- Each screen of the module matches a permission in the **FORMATION** section of the role matrix (**Settings › Manage Employees › Employee Roles**), with three levels: **Access**, **Execute**, **Admin**. An entry only appears in the menu if one of your roles holds the matching permission.
- By default, these permissions are granted to the Administrator role, who then opens them to other roles to suit the way your organisation works.

## Getting into the module

In the main menu, click **Training**: the **My home** screen opens. Hovering over the entry opens the module panel, which lists every entry you are allowed to use, arranged in four groups. The field at the top of the panel filters the list.

The **Skills development** page shows the same entries as cards, with one sentence each; a group with no card you are allowed to see is not displayed. This is the page that opens when you click **Training** without access to My home.

Every screen in the module has its own address: a link copied from the address bar reopens exactly the same view, tab included. This is handy for sending a colleague a course page or a request to review.

Four other permissions in the section have no menu entry of their own: **Learning content & quizzes** (editing a course's content and reviewing assignments), **Attendance** (keeping attendance sheets), **Reminders & notifications** (the settings and log tabs of the Notifications screen) and **Learning assistant (AI)** (artificial intelligence help in the course player).

## Who does what

| Profile | What they do in the module |
| --- | --- |
| Employee | Takes online courses, enrols, requests training, checks their certifications, certificates and skills. |
| Manager | Decides on their team's training requests and, with the matching permission, views the skills matrix. |
| Trainer | Prepares and runs sessions, takes attendance, reviews assignments, declares hours. |
| HR team | Builds the catalogue, schedules sessions, approves requests, tracks certifications, the plan and the budget. |
| Administrator | Grants permissions and configures the module in the settings. |

## Module vocabulary

| Term | What it means |
| --- | --- |
| Course (training) | An offer in the catalogue: an online course, a classroom course or an external course. It is written and then published; only published courses appear in the catalogue. |
| Module and lesson | A course is split into modules, each made of lessons: reading, video, document, link, SCORM module, quiz, assignment or in-person session. |
| Session and slot | A session is a dated run of a course, with a venue, a trainer and a number of seats. It has one or more time slots. |
| Attendance sheet | The sign-in sheet for a slot. Once closed, it confirms each participant's attendance. |
| Certificate | The document issued after a signed-off session. It states the hours actually attended and can be verified with a QR code. |
| Certification | The authorisation to carry out a regulated task, with a date obtained and, usually, an expiry date. |
| Renewal | The training that renews a certification before it expires. |
| Path | An ordered series of steps, for onboarding or for a role, assigned to a person. |
| Training request | An employee's request, reviewed by their manager and then by HR. |
| Envelope | The training budget allocated for the year to an employee or a team. |
| Training plan | The organisation's annual training programme, with its budget and approval circuit. |

## Where the module is configured

- Training-specific settings (rooms, trainers and providers, path templates, skills, certification alert thresholds, budget envelopes) are in **Settings › Training**, also reachable from the **Training settings** entry of the Administer group.
- Permissions are set in **Settings › Manage Employees › Employee Roles**, FORMATION section.
- The module's email templates are customised in **Settings › Manage Illizeo › Emails**, Training category.

## Good to know

- The menu follows your permissions: two people do not see the same entries. If an entry is missing, ask your administrator for the matching permission (table above).
- The trainer workspace requires, on top of the permission, that you are registered as an active trainer in **Settings › Training › Rooms, trainers & providers**, Trainers tab.
- Labels quoted in this help centre are given exactly as they appear on screen, so some differ slightly from one screen to the next.
- The module's screens are available in French, English, German and Italian; emails are sent in each recipient's language.
