# Subscribing and changing your subscription

This article explains how to move from the trial period to a subscription, then how to change it: switch plan, add or remove applications, adjust the committed headcount, and cancel. It is for the owner of the workspace and the people who manage the subscription. Invoices, payment and usage are covered in [Invoices, payment, usage and workspace ownership](https://illizeo.com/en/centre-aide/settings-invoices-payment-and-ownership/).

## Before you start

- The subscription is managed with the “Subscription and billing (subscribe, invoices, billing details)” permission, in the “Platform administration” menu, “Subscription” section of the role matrix. The **Access** level lets you view; the **Execute** level lets you subscribe, make changes and cancel.
- By default, the Administrator role holds this permission at every level, and the HR Manager role at the Access and Execute levels.
- Adding or removing an application also requires “Module activation — Enable / disable” at the **Execute** level, reserved by default for the Administrator.
- Payment is made on invoice, by bank transfer: no card is required.

## Opening the subscription

Click your avatar, then **My Subscription** in the **Account** section. Without an active subscription, you land on the plan selection; with an active subscription, on the management page.

During the trial, an **Illizeo renewal** banner shows the end date and the number of days remaining. It turns orange, then red, as the deadline approaches. Its **Subscribe now** and **View plans** buttons lead to the plan selection.

## Choosing your plan

1. Under **Billing cycle**, choose **Monthly** or **Yearly**. Yearly is a 12-month commitment billed every month, with 90 days' notice. Monthly has no fixed term and can be cancelled each month with 15 days' notice.
2. Under **Number of employees**, enter the headcount to commit to. This is a contractual commitment: the number is the billed minimum for the whole period. The block suggests the number of active employees in your workspace; a minimum applies.
3. Click **Choose this plan** under the plan you want. It changes to **Selected**.
4. Tick the applications and services to add to the plan. Those marked **Coming soon** cannot be ticked.
5. In the bar at the bottom, **View details** expands the summary; click **Subscribe** to move on to billing.

For a custom offer, the **Book a slot · 30 min** button opens a calendar where you can choose an appointment with Illizeo.

## Entering billing details and subscribing

1. Under **Company and contact**, enter the company name, first name, last name, **Billing email** and phone number.
2. Under **Billing address**, the fields follow the chosen country. Add the **VAT / UID number** if applicable.
3. The **Payment** section confirms the **Payment by invoice** method. For Switzerland and Liechtenstein, invoices carry a Swiss QR-bill.
4. If some trial modules are not part of your choice, the **Trial modules that will close** list names them. **Change my applications** takes you back to add them.
5. In the summary, **I have a promo code** opens the **Promo code** field; click **Apply** to check it.
6. Under **Contract conditions**, tick each document. Those you have already accepted are marked “already accepted”.
7. Click **Start now**.

Subscribing ends the trial immediately and starts billing. The first invoice is issued and sent with its PDF to the billing email. The chosen applications are installed; trial modules that were not subscribed close, and the workspace owner is told by email. The **Subscription confirmed** page sums up your contract (plan, committed headcount, cycle, start, next invoice, end of commitment) and offers **Manage applications**, **Go to dashboard** and **Manage subscription**.

## Changing your subscription

The management page shows at the top the plan name, the type of commitment, the number of committed employees and the date you became a customer, with the **Change plan** and **Manage apps** buttons.

The management page: change plan, manage applications, cancel.

### Changing plan

1. Click **Change plan**. The plans are shown with the number of employees billed.
2. Click a plan: the **Summary** gives the effective date and what will be billed.
3. Tick the acceptance box, then click **Change now** or **Schedule the change**, as applicable.

Moving up a plan takes effect immediately; the balance for the current month is billed pro rata. Moving down is scheduled for the end of your commitment period: your current plan stays active until then, and a banner reminds you of the planned change. **Cancel this change** undoes it as long as it has not taken effect. The monthly or yearly cycle cannot be changed after subscribing.

### Adding or removing applications

1. Click **Manage apps**. The **Manage applications** panel shows each application with its status: included in your plan, purchased, removal scheduled…
2. Tick the applications to add and untick those to remove.
3. Click **Review changes**, check the dates, tick the acceptance box, then click **Confirm**.

An added application is installed as soon as you confirm; a pro rata invoice is issued and sent by email. A removed application stays available and billed until the date shown in the summary, which is the end of your commitment period. You can cancel a removal until then.

### Adjusting the committed headcount

Click **Change commitment**, enter the **New commitment (employees)**, then **Review the change**. An increase takes effect immediately and is billed pro rata for the month; a reduction takes effect at the end of your commitment period, on the date shown. The allowed range is given under the field.

If your active headcount exceeds the commitment, a **Headcount overage** banner says so: the additional employees are billed and the invoice is adjusted automatically.

## Cancelling

1. Click the **Cancel subscription** link, below the buttons at the top of the page.
2. Read **What cancelling entails**: the contract ends on the renewal date and your access stays complete until then; no pro rata refund is due; you then have 30 days to export your data before it is permanently deleted.
3. If you wish, fill in **What prompts your departure (optional)**.
4. Type CANCEL in the confirmation field, then click **Cancel subscription**.

The page then shows **Cancellation registered**, with the **Cancel the cancellation** button, which you can use until the renewal date. The owner receives a confirmation email, then reminders before access ends and before the data is deleted. If the notice period has passed, the end moves to the following renewal date.

Cancellation takes effect at the end of the term.

## Good to know

- Cancelling has the same effect as turning off automatic renewal in the **Payment** tab.
- The subscription cannot be managed from a test instance: do it from your main workspace.
- A user, in the contractual sense, is an employee who is active in Illizeo during the billing period.

## FAQ

### The HR Manager cannot add an application.

Adding or removing an application also requires “Module activation — Enable / disable” at the Execute level. Grant it to their role, or leave this action to an administrator.

### Can we switch from monthly to yearly?

Not from the screen: the cycle chosen when subscribing stays fixed.
