# Workspace logos and global settings

This article covers the settings that apply to the whole workspace: your company's logos, then the global settings (platform, languages, employees, currency and exchange rates). It is for administrators. GDPR registers and data retention are covered in [Security & compliance](https://illizeo.com/en/docs-category/platform-en/platform-security-sso/).

## Before you start

- All these pages require the “Settings — Access” permission, then the page's own permission, in the “Platform administration” menu of the role matrix. The **Access** level lets you view; the **Execute** level lets you save.
- The permissions involved: “Theme & logo” (“Theme & branding” section); “Platform settings”, “Language options”, “Advanced employee settings” and “Currency & exchange rates — Configure” (“Global settings” section). By default, only the Administrator role holds them.
- Without the Execute level, a page opens in read-only mode: fields are locked and there is no save button.

## Company logos

Open **Settings › Manage Illizeo › Theme Settings**, then the **Logo Settings** tile.

1. Click the edit icon at the top right of the card.
2. Under **Logo**, upload the company's full logo: JPG or PNG, exactly 250 × 40 pixels, 1 MB at most.
3. Under **Side Bar Logo**, upload the short or square version: JPG or PNG, between 50 × 50 and 250 × 250 pixels, 1 MB at most.
4. If needed, set **Hide Side Bar Logo**, **Hide Round Logo in the emails** and **Hide Favicon**.
5. Click **Save Changes**, or **Cancel**.

An image that does not meet the format or dimensions is refused with a message stating the rule. Where the logos appear:

| Setting | Where it is shown |
| --- | --- |
| Logo | At the top of the expanded navigation rail; at the top of emails sent by Illizeo; in documents generated from a template that contains the company logo. |
| Side Bar Logo | At the top of the collapsed rail; as the browser tab icon (favicon); as the round thumbnail at the bottom of emails. |
| Hide Side Bar Logo | Removes the logo from the navigation rail. |
| Hide Round Logo in the emails | Removes the round thumbnail from the bottom of emails. |
| Hide Favicon | The browser tab no longer shows an icon. |

Without an uploaded logo, Illizeo's own logos are shown. The interface colours are not set here: each user chooses the **Light**, **Dark** or **System** display in their avatar menu, under **Appearance**.

## Global settings

Open **Settings › Manage Illizeo › Global Settings**. Each tile opens a page; you only see those you have permission for. The platform and advanced employee settings pages show a **You have unsaved changes** bar as soon as a field changes, and flag the modified settings: nothing is saved until you click **Save**.

### Platform

The **Manage Platform Settings** tile opens the **Platform Settings** page.

- **Logout redirect URL**: the page Illizeo sends someone to when they click **Logout**, for example your intranet. If empty, it is the sign-in page.
- **Session duration**, in minutes, between 5 and 480, or 0 to never sign people out. After this period of inactivity, the user is signed out. They are warned before the deadline by a window offering **Continue my session**. The setting applies to everyone.
- **Default language**: the language of your workspace's sign-in page, and of emails sent to a person who has not chosen a language.
- **Currency**: the company currency, used when neither the employee, nor their office, sub-company or company has one.
- **Disable national ID validation**: suspends the format check on national identification numbers, both on screen and when saving. A number already assigned to another person is still refused.
- **Enable postal code validation**: checks that the postal code matches the format of the chosen country, in employee and company addresses.

Be careful with the **Single recipient email** field: if it is filled in, every email sent by your workspace goes to that single address instead of its recipients. Leave it empty.

### Languages

The **Language Options** tile opens the **Language Options** card: one switch per language (English, German, French, Italian). Flip the switches, then click **Save**. At least one language must stay active.

The active languages are those offered in the language field of the employee profile and the hiring wizard, and in translatable entries (HR request types, review forms, privacy statements). They do not restrict the interface language, which everyone chooses in their avatar menu.

### Advanced employee settings

- **Generate employee ID automatically**: the employee number is no longer requested in the hiring wizard; Illizeo assigns it when the hire is confirmed.
- **Allow employee to change their background image**: adds the **Edit coverage** entry to the employee profile menu, for roles that can edit the profile header.
- **Behaviour alerts**: the attendance alerts that state a shortcoming (inconsistent break, attendance on a non-working day). Three choices: **Follow local law**, **Enabled**, **Disabled**. The **Currently applied:** line says what applies to your company. When following local law, they are off for a company based in Switzerland, Germany, Italy or Finland. When disabled, they are no longer raised, and open ones close at the next recalculation. Alerts that count hours (overtime, Sunday, night) are not affected.

### Currency and exchange rates

The **Currency & Exchange Rate** tile sets how amounts entered in another currency are converted. A box reminds you which currency is used: the employee's, otherwise their office's, sub-company's, company's, then the platform's.

1. Under **Conversion method**, choose **Rate on transaction date**, **Rate on conversion date** or **Fixed monthly rate**.
2. Click **Save**. The method applies to expenses and projects; the change is recorded in the User Logs.

To enter fixed rates, select **Fixed monthly rate**: the **Monthly fixed rates** grid appears, even before you save. Choose the **Month**, the **From currency**, the **To currency** and the rate, then click **Add**. A rate entered for a month and currency pair that already had one replaces it, without warning. The bin deletes a rate immediately. Fixed rates are also used by payroll, whatever the chosen method.

Selecting Fixed monthly rate shows the rates grid, even before saving.

## Good to know

- A rate that has already been used for a conversion, or that an approved or paid expense uses, can no longer be changed or deleted.
- None of these saves sends an email or notification.
- The logout redirect does not apply after a sign-out for inactivity: the person then lands on the session-expired screen.

## FAQ

### My logo is refused.

Check the format (JPG or PNG, not SVG), the size (1 MB at most) and the dimensions: exactly 250 × 40 pixels for the logo, between 50 × 50 and 250 × 250 pixels for the side bar logo.

### Users are signed out too often.

Increase the **Session duration** on the **Platform Settings** page, then save.
