# Administering the Performance module

This article brings together the cross-cutting topics of the Performance module: installation, permissions, settings, workflows, notifications and emails, automatic tasks, traceability, personal data, languages and artificial intelligence. It is for the administrators of your space.

## Before you start

- The module is called **Performance management** in **Applications**. Once installed, it does not add an entry to the main menu: it lives in the **Performance** tab of each person's profile (see [Performance: overview and navigation](https://illizeo.com/en/centre-aide/performance-overview/)), and its settings under **Settings › Performance**.
- Permissions are set in **Settings › Manage Employees › Employee Roles**, PERFORMANCE section of the role matrix, with three levels: **Access**, **Execute**, **Admin**.

## Installing the module and choosing who uses it

1. Open **Applications** and the **Performance management** card.
2. Click **Install** if the module is not installed yet.
3. In the **Assigned people** tab, check who has the module.

A person from whom the module is withdrawn no longer sees the Performance tab and no longer receives the module's notifications.

## The module's permissions

A permission says what a role can do; the role's population says on whom. A manager therefore only acts on the employees their role covers. The **Exclude the employee themselves** switch, in the role's **Target population** tab, prevents writing to one's own performance data (objectives, reviews), without preventing reading it.

| Permission (role matrix) | What it allows | Default |
| --- | --- | --- |
| Objective | Access: read objectives; Execute: create, edit, delete, declare achieved, AI help on the title | Execute: Administrator, HR Manager, Manager; Access: All employees, Auditor |
| Feedback | Access: read reviews; Execute: create a one-off review, fill in, submit, finalise, sign, choose peers; Admin: reopen a review | Execute: Administrator, HR Manager, Manager, All employees; Access: Auditor; Admin: Administrator |
| Delete a performance form | Delete a one-off review | Administrator, HR Manager, Manager |
| 1:1 meeting | Access: read meetings; Execute: schedule, edit, delete them | Execute: Administrator, HR Manager; Access: Manager, All employees, Auditor |
| Comments — View | Read continuous feedback | All supplied roles |
| Comment — Add | Give continuous feedback, edit and delete one's own | Administrator, HR Manager, Manager, All employees, All employees — on others |
| Settings — General | Open the General Settings page | Administrator |
| Settings — Feedback form templates | Manage the template list, mark a professional interview | Administrator |
| Settings — Form builder | Open and save the form builder, duplicate a template | Administrator |
| Settings — Review cycles (steps, population) | Create and configure cycles, their steps and participants; close them | Administrator |
| Launch a review campaign | Launch a campaign; choose peers when HR chooses | Administrator, HR Manager |
| Track campaign progress | Access: progress tracking and report; Execute: remind, catch up missing reviews | Execute: Administrator, HR Manager; Access: Manager |
| Validate a dossier on behalf of the company | Issue, validate or decline an end-of-cycle dossier for the company | Administrator, HR Manager, Manager |
| View the objective-linked bonus amount | See other people's bonus on the objective and in the dossier | Administrator; Access: HR Manager, Payroll Manager |
| Merge / split review files | One interview for several contracts, or one per contract | Administrator, HR Manager, Manager |
| Place one’s team in the talent review (9-box) | Read your team's grid; place people | Administrator, HR Manager, Manager |
| Calibrate and close the talent review | Open, calibrate and close the talent review | Administrator, HR Manager |

Other sections also come into play: “Objective-based bonus — Create + KPI + distribution” (payroll) for the bonus and its transmission to payroll, the dashboard's “My OKR objectives” widget, and the People Analytics system report permissions.

## Settings

**Settings › Performance** opens three tiles:

- **General Settings**: an information page about bonuses, with no setting. The period against which a bonus is measured is the review cycle's period.
- **Review cycles**: cycles, their steps, participants, dossier validation mode and campaign launch (see [Setting up a review cycle and campaign](https://illizeo.com/en/centre-aide/performance-review-cycles/)).
- **Feedback Templates**: the form library and the form builder (see [Designing review forms](https://illizeo.com/en/centre-aide/performance-review-forms/)).

The talent review has no settings page: its calibration date and reminder are set in the tab itself.

## Workflows

Four workflows in the Performance category are supplied. They are managed in **Settings › Manage Employees › Workflows**. Requests to decide arrive in **Workflows › Performance**, where the approver can **Accept**, **Reject** with a reason, or **Delegate**.

| Workflow | Default | Effect |
| --- | --- | --- |
| Target achievement approval | Inactive | When active and a person sets their own objective to “Achieved”, a request goes to their manager instead of changing the status. |
| Objective transmission to payroll | Inactive | When active, sending an objective to payroll waits for approval before the bonus is created. |
| Continuous feedback reminder | Active | At the start of each month, an email and notification remind each manager to give feedback. |
| Schedule performance reviews | Active | At the start of a cycle, the participants' managers are asked to schedule the reviews, then to confirm their schedule. |

The last two also have a switch in the **Global settings** tab, Performance group: **Periodic reminder for continuous feedback** and **Notification at the beginning of the evaluation period**.

## Notifications and emails

The module's notifications arrive in the **Performance** tab of the bell and, for most of them, by email, in the recipient's language. The person who performs an action is never notified of it. Everyone chooses what they receive in their personal settings, Notifications tab, “Collaboration” group: **Meetings**, **Performance reviews** (reviews, peer nomination, dossiers) and **Talent review**. Company defaults are set in **Settings › Manage Illizeo › Notifications**.

Five email templates can be customised in **Settings › Manage Illizeo › Email**, HR & Workflows category: the scheduled 1:1 meeting template and the four talent review templates (opening, move during calibration, closing, reminder before calibration). Notifications about reviews, peers and dossiers have fixed, translated wording that cannot be edited. Switching off an email template stops the email, never the notification in Illizeo.

## Automatic tasks

- Every morning, Illizeo opens the campaign steps that have reached their date: it creates the reviews, notifies the contributors and asks for peers to be chosen. An employee added to the participants after launch also receives theirs.
- Every morning, Illizeo sends the talent review reminder when the chosen window before calibration begins.
- Every five minutes, the state of dossiers sent for electronic signature is aligned with the provider's.

There is no automatic reminder for overdue reviews: reminders are sent manually from campaign tracking.

## Traceability

- Creations and changes to cycles, steps, templates, questions, objectives, key results, reviews, feedback and meetings are traced. They can be viewed in **Settings › Manage Illizeo › User Logs**, with the **Module** filter.
- Reopening a review is traced with its reason, as is deleting a one-off review.
- Each in-app validation of a dossier keeps its date, IP address and browser.
- For the talent review, the log keeps who placed or moved whom, without the box, the comment or the reason.

## Personal data

- The export of an employee's data (right of access), performance category, includes their objectives, continuous feedback, reviews, 1:1 meetings and talent review placements, with the calibration comment and reason, even though they cannot see their box in the application.
- Permanently erasing an employee deletes their talent review placements; where they were only an author (proposal, calibration, opening, closing), their name is removed.
- An end-of-cycle dossier validated by both parties is filed in the employee's documents, Performance category.

## Languages

The interface is available in French, English, German and Italian. Emails are sent in the recipient's language. Form templates are translated field by field, in French and English, according to the company's active languages: every label must be translated before saving. A few period labels suggested when creating a cycle (such as T1, S1 or month abbreviations) are shown in French in the English interface.

## Artificial intelligence

The module has a single AI aid: under an objective's title, **Rephrase** and **Fix the tone**. The suggestion is shown next to the text; **Replace the text** applies it, and nothing is saved without you. These buttons require the “Objective” permission at the Execute level and only appear if AI is available for your space. Calls count towards your space's AI usage.

## Good to know

- The module does not manage skills: the skills part of the annual review belongs to the Training module (see [Managing skills](https://illizeo.com/en/centre-aide/training-skills/)).
- The module has no resource in the public API and no webhook event.

## FAQ

### An employee cannot see the Performance tab.

Check that they are among the module's **Assigned people** and that one of their roles holds at least “Objective”, “Feedback”, “1:1 meeting” or a talent review permission.

### A manager cannot schedule a 1:1 meeting.

By default, the Manager role only has the Access level on “1:1 meeting”. Grant it the Execute level if your managers should schedule meetings themselves.
