# Describing your report to the AI

When artificial intelligence is enabled for your workspace, People Analytics offers two kinds of help: **describing in one sentence the report you want**, and letting the AI fill in the creation form for you; and **summarising** a system report in a few points. In both cases, the AI suggests and you decide.

## Before you start

- **AI must be enabled for your workspace.** A person who manages the subscription enables it in the **Artificial intelligence** card of the subscription screen, after accepting usage-based billing. They can set a monthly cap there: once it is reached, AI features close until the next month. Without activation, neither the field nor the buttons described here appear.
- **Your usual permissions apply**: creating a report requires the “Custom report” permission at the Execute level.
- The use of AI is governed by [Illizeo’s general terms for AI](https://illizeo.com/conditions-generales-ai/).

## Describing your report in the creation window

1. Open **Custom Reports › Create Custom Report**.
2. In the **Describe your report** field, write what you want to get, in your language (1,000 characters at most). For example: “employees of the Finance department with their hire date and contract end date, sorted by hire date”.
3. Click **Suggest the report**. The AI fills in the form: name, report type and dates, columns, population, presentation (list or aggregated, groupings, measures, chart).
4. **Review** the form and the preview on the right, and correct what needs correcting.
5. Click **Add**. Nothing is saved before this click.

If the request cannot become a custom report, the screen says so and the form is left unchanged.

## Asking the assistant for a report

The **Ask Illizeo** assistant (shortcut Cmd+K or Ctrl+K) can also create a report. Write for example: “Create a report of headcount by site and gender, with a bar chart.” The assistant answers with a card summarising the suggested report:

- **Confirm** creates the report as is;
- **Edit** opens the creation window, prefilled, so you can review and adjust it before adding it;
- **Cancel**: nothing is done.

## What the AI can suggest

- **Lists**: columns, population (sub-company, site, department, team, position, manager, contract type, hire, contract end, probation end or departure dates…), sorting and breaks.
- **Aggregates**: headcounts and shares per group, averages, medians, minimums and maximums, turnover and absence rates, trends by month, quarter or year.
- **Charts**: bars, stacked bars or lines, including on a list.

It only suggests columns you can read: it cannot widen your permissions.

## Summarising a system report

On system reports presented as a table, the **Summarise** button asks the AI for a summary, in a few points, of what the report shows, with your period and filters. The summary is labelled “Proposed by AI”; **Copy the summary** puts it on the clipboard. If the report is very long, the summary covers an extract, and the screen says so.

The summary is never offered on reports related to health: Absence anomalies, Bradford factor and Medical visits.

**Your data and the AI**

- To suggest a report, the AI receives your request and the list of columns you can use, **never employee data**.
- For a summary, the report is recalculated with your permissions and filters: the AI only sees what you see.
- A summary is a reading of the report, not a decision: check every figure in the table.
- Your decision on a suggestion (accepted as is, edited or rejected) is recorded in the user logs.

## Frequently asked questions

### I cannot see the “Describe your report” field.

AI is not enabled for your workspace, or its monthly cap has been reached. The field only appears when creating a report, not when editing one.

### “The AI could not suggest a report. Please try again in a moment.”

The service did not answer in time. Try again, or build the report by hand.

### The suggestion does not quite match my request.

Correct the form before adding, or rephrase your request more precisely: the population, the date or period, the expected columns.
