# Generate reports

The **Reports** screen produces a document from the results of a closed survey. Generation takes three steps.

## 1. Choose a survey

Only surveys with results are offered.

## 2. Choose the report type

The module produces PDF and PPTX documents for circulation, and CSV exports for working the data elsewhere.

## 3. Set the options

- **Include comments** — the free-text verbatims.
- **Include sector benchmarks** — reference values, where they exist.
- **Include the department heatmap** — the department × theme cross.
- **Include trends vs previous cycle** — available for a recurring survey with at least two cycles.
- **Filter by department** — to produce a document for one team only.

## Retrieving the document

After **Generate the report**, the document joins the **Generated reports** list and turns **Ready** once it is available for download. The history keeps earlier reports.

## Two limits worth remembering

- A report filtered to one department is still subject to the confidentiality threshold: below it, that department's results will not come out.
- Every generation is written to the activity log as an export.
