# Flex Office: meals

Flex Office catering lets you book your meal with your desk booking or your desk, choose your dish and join a waiting list when a service is full. The kitchen and reception each have their own view of the day.

## Before you start

- **The Restaurant tile** in the booking panel and the **Restaurant** line of a day card are shown to everyone. Booking, changing the dish or cancelling requires the permission to book a meal at the Execute level; without it, the panel says so: “You are not allowed to book a meal.”
- **The Restaurant button** in the calendar appears with the permission to configure catering (kitchen view) or with the permission for the named daily list. Without either of them, it does not exist. Each section of the window follows its own permission.
- **The daily list** covers the whole company, visitors included, without the dish.
- **Configuring** restaurants requires the permission to configure catering.

### Permissions in the role matrix

- “Book a meal”: Access to see your meal and the services; Execute to book, change the dish, cancel and manage the waiting list.
- “View the daily list of restaurant guests (who is coming, to which service — never the dish chosen)”: Access.
- “Configure catering (restaurants, services, closures, menus)”: Access for the kitchen view and viewing; Execute to change.

## What this window is for

- **Book a meal**: a restaurant, a service and, if you wish, a dish.
- **Restaurant management** (**Restaurant** button in the calendar): “Covers and dishes of the day, guest list”.
  - **Kitchen — covers and dishes**: the number of covers per service and the dishes to prepare, with no names;
  - **Daily list — who is coming**: who is coming, to which service, confirmed or waiting, never the dish.
- Restaurants (services, closures, menus) are configured in the location's settings, **Catering** tab. See [Locations and floor plans](https://illizeo.com/en/centre-aide/flex-office-locations-and-floor-plans/).

## Step by step

### Book a meal with your desk

1. In the [calendar](https://illizeo.com/en/centre-aide/flex-office-calendar/), open an empty cell. The booking panel opens.
2. Choose your workplace first: “Choose a location first: restaurants belong to the booked location.”
3. Under **Additional services**, open the **Restaurant** tile.
4. Choose the restaurant and the service. The published menu is shown; choose **Your dish** or leave **No preference**.
5. Click **Add this meal to the booking**. If the service is full: **Add the waiting list to the booking**.
6. Save the desk booking (and, in a zone with desks, the desk). The meal is “Booked with the desk when saving — and cancelled with it.”

The Restaurant tile ticked: the restaurants offered are those of the chosen location.

### Edit a booking that already has a meal

1. From the day card, click **Edit**. The **Restaurant** tile shows the attached meal: “Linked to this booking: it follows it on its own — same service on the new day, waiting list if full; if closed or at another location, it is cancelled and you are notified.”
2. Save. The screen says what did not follow: “Meal cancelled” or “Meal on the waiting list”, with the restaurant and the service.
3. If the booking had no meal that day, the one you choose is booked after the change, attached to the booking.

### Book, change or cancel from a day card

1. Click a filled cell in the calendar. In the **Services** section, the **Restaurant** line shows whether a meal is booked (“Confirmed”, “Waiting (rank)”) or not (“No meal booked”).
2. Expand the line to book: **Book this meal**, or **Join the waiting list** if the service is full.
3. As long as the meal can still be cancelled, you can change **Your dish**.
4. To cancel: **Cancel the meal**, or **Leave the waiting list**.

### View the Restaurant management window

1. In the calendar, click **Restaurant**.
2. Choose the location and the day.
3. With the configuration permission, read **Kitchen — covers and dishes**: confirmed covers per service (and those waiting), then the dishes to prepare per service and the **Day total**.
4. With the daily list permission, read **Daily list — who is coming**: by restaurant and by service, the confirmed covers out of the capacity, then the names (a visitor with their company) and their status.

## Good to know

- **One meal per day.** Only one meal per person per day, across all restaurants.
- **Cancellation.** A meal can be cancelled freely until the service starts. After that: “The service has started: the meal can no longer be cancelled.”
- **Waiting list.** When a service is full, you can join the waiting list. Each time a seat is released, the first person waiting is confirmed automatically and notified.
- **Your dish stays yours.** Only you can read it back. The kitchen only sees dishes as anonymous totals; the daily list never shows the dish. If a service has fewer than 5 confirmed covers, its dishes are not broken down, or they are grouped with other services, so that no choice can be attributed to a person.
- **Diets.** Diets (vegetarian, vegan, halal, kosher, gluten-free, lactose-free, nut-free) are carried by the restaurant and its dishes. Nothing is recorded about the person.
- **The meal follows your desk.** Cancelling or refusing the desk cancels the attached meal. Editing the desk makes the meal follow, including when you move it to a desk from the interactive plan. If a change that requires approval is refused, the original booking is restored and the meal returns to its original day when possible; otherwise it is cancelled.
- **Assigned desk released.** If you release your assigned desk (“My assigned desk”, in the calendar preferences), your bookings on that desk are cancelled or reduced, and the meal attached to them goes with them. The preview says so before any confirmation: “meal lost”. For a reduced booking, the meal only goes if it is served in the released half.
- **Release for lack of a check-in.** At a location that requires check-in and releases desks not checked in (the location's **Automatic release** setting), the meal attached to the released desk is cancelled with it, unless its service has started. You receive a single notification for the whole. If a late badge scan restores the desk, the meal does not come back. See [Locations and floor plans](https://illizeo.com/en/centre-aide/flex-office-locations-and-floor-plans/).
- **Absence and remote work.** An approved absence or remote work cancels the day's meal. Remote work has no meal at the office.
- **Closures and public holidays.** A restaurant is closed on its location's public holidays and during its exceptional closures. A site closure can also cover meals.
- **Walk-in.** A restaurant set to “Walk-in” is not booked: “Walk-in, no booking needed.”
- **For others.** Depending on your role, you can book a meal for a person in your population; their dish stays invisible to you.
- **Week template.** Your week template can book your meal automatically. See [Week template](https://illizeo.com/en/centre-aide/flex-office-week-template/).
- **Visitors.** A visitor's meal counts towards capacity and the daily lists, not towards the host's quota. See [Visitors](https://illizeo.com/en/centre-aide/flex-office-visitors/).
