# Flex Office: approvals

The **Approvals** tab gathers the requests awaiting your decision: desk bookings and visits. Meeting rooms do not go through approval: a meeting is confirmed straight away.

## Before you start

The tab is reserved for people with the permission to handle Flex Office booking requests. Without this permission, the tab does not exist.

- To decide (accept, refuse, delegate), you need this permission at Execute level. Without it, you can read the requests but not decide on them.
- The tab is not in the module's tab bar. It opens from its address, …/flex-office/approbations. Flex Office approval requests relayed in Microsoft Teams (desks and visits) link to it.

### Permissions in the role matrix

- “Handle booking requests (approve, reject, delegate)”: Access level to see the tab and read the requests, Execute level to accept, refuse and delegate.

## What this tab is for

- See the requests waiting for you, “Under your responsibility”.
- Read the details of a request: location, zone, time slot, requested date, submission date, and why it requires approval.
- **Accept**, **Refuse** (with a reason) or **Delegate** the decision to another person.

## Step by step

1. Open the **Approvals** tab. The “Awaiting your decision” counter and the left-hand column list the pending requests.
2. Filter by type if needed: **All**, **Office**, **Visitor**. The number of pending requests is shown on each filter.
3. Click a request. Its details appear on the right:
   - **Location**, **Zone / Spot**, **Time slot**, **Requested date**, **Submitted on**;
   - where applicable, **Submitted for approval by the attendance profile**, with the list of rules involved;
   - the **Reason**: the booking's comment or, for a visit, the number of visitors, the arrival time and their names.
4. Decide:
   - **Accept**: the booking or the visit is confirmed (or moves on to the next step of the workflow);
   - **Refuse**: enter the **Reason for refusal** (required), then **Confirm refusal**;
   - **Delegate**: choose a person in **Delegate to** (“Select an approver…”), then **Confirm delegation**. The window confirms: “Request delegated. The delegate is notified.” If the list is empty: “No one else can decide on this request.”

## Good to know

- **Two types of request.** **Office**: a desk booking, with or without a specific desk (the zone is shown, not the desk). **Visitor**: a visit, including that of a meeting's external guests. A booking request at a location that is not an office (remote work, for example) only appears under **All**.
- **When a booking goes for approval.** A desk booking requires approval:
  - when a rule of the person's [attendance profile](https://illizeo.com/en/centre-aide/flex-office-attendance-profiles/) requires it;
  - when the **Mandatory remote work approval** setting applies to a remote-work day;
  - when the **Submit all bookings for approval** setting is enabled (see [General settings](https://illizeo.com/en/centre-aide/flex-office-general-settings/)).
- **Who approves a booking.** The workflow set up in Workflows on the “Desk booking to approve” trigger. Failing that, the person's manager; if the manager is inactive or does not have the permission, the next manager up the hierarchy. Requesters are never their own approver. With no possible approver, the booking is refused when it is entered.
- **Visits** have their own workflow, set up in Workflows on the “Visit to approve” trigger. With no workflow, a visit is confirmed directly. For a series of meetings with external guests, a single request covers all the dates. See [Visitors](https://illizeo.com/en/centre-aide/flex-office-visitors/).
- **Delegate.** The list offers the active people who can decide on the request. The delegate is notified and the request moves to their queue.
- **You are notified.** An approver receives a notification as soon as a request is waiting for them. Email reminders follow the “Reminder” block of the “Booking to approve” email template (Settings › Illizeo › Emails), for desks as well as for visits: by default, a first reminder after 2 working days, then every 2 working days, 2 reminders at most.
- **Escalation.** A request left open for more than 96 hours is passed to the approver's manager, once only. It is never passed to the requester. A request whose date has passed is not escalated.
- **Effects of a refusal.** Refusing a desk cancels the parking spot and the meal attached to it. Refusing an edit restores the original booking; the person is notified. Refusing a visit cancels its visitors' spots and meals; refusing an addition to a confirmed visit only removes the people added. For a meeting's visit, the meeting stays and its guests are removed from it; the organiser is notified.
- **An edit goes back for approval.** Editing a booking subject to a workflow puts it back on pending.
