# Filtering the population of a report

Two separate mechanisms decide which employees appear in a report: the status filter, which is required, and the organisation filters, which are optional.

## The employee status filter

It is required when creating the report and sets the reference population.

| Filter | Who is kept |
| --- | --- |
| Active on the chosen day | Employees in post on the report date |
| Active during the timeframe | Those in post at some point in the range, even partly |
| All | Everyone, leavers included |

The choice should match the report type: *Active on the chosen day* suits a point-in-time report, *Active during the timeframe* a period one.

## Organisation filters

Three assignments can narrow the population, picked from a list rather than typed:

- **sub-company**;
- **office**;
- **department**.

Each condition is set as *equals* or *not equals*, and several conditions stack.

## Why a list rather than a free field

*The filter applies to the assignment identifier, not its label. A department name typed by hand would match no value and the report would come back empty — hence the picker.*
