# Clocking rules, entry closing and presence reasons

Beyond attendance profiles, a few rules apply to the whole company: late tolerance, hour rounding, the default break, forgotten clocking sessions and entry closing. This article describes them, along with presence reasons and the reduced day-rate plan.

## Before you start

- Company rules are under **Settings › Time Management › Company Rules**, cards **Attendance**, **Leave & work time** and **Reduced day-rate plan**.
- The Attendance and Leave & work time pages require the "Work Schedules" permission; to edit them, at the **Execute** level. Without it, they are read only.
- Presence reasons are under **Settings › Time Management › Presence reasons**: view with "View working-hours profiles", edit with "Create / Edit / Delete a working-hours profile" (Execute).

## Clocking rules

Open **Company Rules › Attendance**. These rules apply to the timesheet, indicators, counters and the payroll export.

### Late tolerance

- Choose a tolerance: None, 2, 3, 5, 10, 15, 20 or 30 minutes. It is measured on the first arrival against the planned start: a day with no planned start time is never late.
- "Effect of a late arrival within the tolerance": **No alert** (no time is credited) or **Time credited** (the tolerated minutes are given back).
- Tick "Flag late arrivals beyond the tolerance" to show the "Late" badge in the timesheet.

### Hour rounding

Choose a **Step** (None, 5, 10 or 15 min) and a **Direction** (Nearest, Down or Up). Rounding applies to the calculated duration of the day: clocked times are never rewritten and a duration entered by hand is not rounded.

### Default break

It only applies to profiles without break tiers. Turn on "Require a minimum break", choose its length (15 to 60 min) and the number of hours from which it applies, and decide whether it is deducted when it is not clocked.

## Forgotten clocking sessions

In **Company Rules › Leave & work time**, the "Forgotten clocking sessions" section sets what happens to a session left open:

| Setting | Choices |
| --- | --- |
| Behaviour | Close automatically (default), Block clock-out, Both, Alert only. |
| Threshold | Expected end + grace (30 min by default), the profile's daily maximum, or Fixed duration (12 h by default). |
| Time recorded | Expected end, to confirm (default); Zero duration; or Leave open. |
| Also notify the direct manager | On by default; the employee is always notified. |

The check runs every 15 minutes. The employee then confirms or corrects their clock-out time from the dashboard or their timesheet.

## Attendance entry closing

On the same page, the "Attendance entry closing" section sets how long the previous month stays editable:

1. Turn on "Block entries on past months".
2. Choose the **Closing day** (1 to 27; 5 by default): the previous month stays open until that day inclusive.
3. If needed, set the HR exception: a number of extra days during which HR can still correct, and how many months back a reasoned correction remains possible (12 at most).

After that, no day before the 1st of the current month can be created, edited or deleted. The "Correct attendance after the entry lock" permission opens the extra days (Execute level) and the reasoned correction of a closed month (Admin level), with a reason recorded in the log; by default it is granted to the Administrator and the HR Manager. A profile can have its own closing day ("Entry closing" section of the profile). Even without closing, an approved payroll locks its period.

## Presence reasons

A presence reason qualifies working time: remote work, travel, training, assignment. It is not an absence. The employee sets it on a day in their timesheet; it is visible on the team schedule and counted in hours.

1. Open **Settings › Time Management › Presence reasons** and click **New reason**.
2. Fill in the code (unique, 30 characters at most: letters, digits, hyphen, underscore), the French label (and, if you wish, English, German and Italian labels), the colour, the icon and, if needed, a payroll code.
3. Optionally link the reason to an absence type: absences of that type are then shown as this reason, which can no longer be entered in the timesheet.
4. Leave "Counted as actual work" and "Active" ticked, then click **Save**.

No reason is supplied: create the ones you need. In a role's settings, a presence reasons card limits the reasons that role can set (all of them by default).

## Reduced day-rate plan

The **Reduced day-rate plan** card calculates the days of a reduced day-rate plan: days of a full-time plan, plus company rest days, minus contracted days, prorated to presence. It lists the profiles counted in days; for each one, you turn on the reduced plan and set the days of a full-time plan (218 by default), the annual rest days, the request deadline, the start of the reference period, the proration and the rounding. The agreements part records, employee by employee, the contracted days and their period. Monthly requests go through the reduced day-rate plan approval circuit.

## Good to know

- Deleting a presence reason happens without confirmation; past days keep their reason.
- "Counted as actual work" is only used by the hours-by-reason report; it does not change how hours are calculated.
- Compensation for a public holiday worked is set under **Company Rules › Public holidays**; a profile can override it with its own choice (Surcharges section).
- The company rules pages are available in French and English only.
- On-call rules have their own card: see [Allowances and on-call](https://illizeo.com/en/centre-aide/attendance-allowances-and-on-call/).
